  • To Perform Contractual Obligations: To process and confirm your dining reservation or event booking.

  • To Communicate: To send booking confirmations, manage changes, and respond to your general enquiries submitted via the website.

  • To Improve Service: To understand website traffic patterns and improve the user experience (via cookies).

  • For Direct Marketing (Consent): Only if you have given explicit consent (e.g., opted in to a newsletter), to send you updates on weekly Sunday Lunch menus and special promotions. You can unsubscribe at any time.

4. Security Safeguards

We are legally obliged under POPIA to provide adequate protection for the Personal Information we hold. We implement reasonable technical and organisational measures to prevent loss of, damage to, or unauthorised destruction of personal information, and unlawful access to or processing of personal information.

  • Data is stored securely on servers located in South Africa or with vetted third-party Operators (booking software providers) that comply with similar security standards.

  • Access to customer data is restricted to authorised personnel only (Reservations Team and Management).

5. Disclosure and Operators

We will not sell, rent, or trade your Personal Information. We may disclose your information to the following parties:

  • Third-Party Operators: External service providers who process data on our behalf, such as online booking software platforms or email service providers. We have contracts in place with these parties to ensure they treat your information with the same level of confidentiality and security required by POPIA.

  • Legal Obligation: Where we are legally obliged to disclose the information, such as to law enforcement or regulatory authorities.

  • The data we process (name, email, booking details) is necessary for the performance of a contract (your booking).

  • We commit to maintaining the integrity and confidentiality of your data, a central tenet of both POPIA and GDPR.

  • We will not transfer your Personal Information outside of South Africa unless the recipient is subject to a law, binding corporate rules, or agreement that upholds the principles of POPIA/GDPR.

  • Contact Data: Email Address and, optionally, your Mobile Number (for WhatsApp community access).

  • Transaction Data: Records of your "Winter Warmer" stamps and reward redemptions.

2. Purpose of Collection

We collect and process your data for the following specific purposes:

  • Authentication: To allow you to log in to your digital loyalty card without a password.

  • Programme Management: To track your progress toward your R250 meal voucher.

  • Communication: To send you Sunday Lunch menus, exclusive offers, and program updates (only if you have opted in).

  • Audit & Security: To prevent fraudulent redemptions and ensure the integrity of our loyalty system.

3. Data Storage and Security

  • In-house Management: Your data is stored securely on the Café 1904 web server. We do not sell or rent your personal information to third parties.

  • Security Measures: We use industry-standard encryption to protect your data during transmission and at rest.

  • Access Control: Only authorized Café 1904 management and our technical service providers have access to the backend database for the purpose of maintaining the system.

4. Third-Party Service Providers

While we manage our system directly, we may use trusted third-party service providers to facilitate communications:

  • WhatsApp: If you join our WhatsApp group, your mobile number is visible to other group members in accordance with WhatsApp’s own privacy settings.

  • Email Services: We may use professional mailing platforms to send out Inner Circle updates.

5. Your Rights (POPIA Compliance)

Under POPIA, you have the following rights regarding your personal information:

  • Access: You can request a copy of the personal information we hold about you.

  • Correction: You can update or correct your information at any time.

  • Deletion: You may request that we delete your account and all associated data. Please note that deleting your account will result in the loss of any earned stamps.

  • Objection: You may withdraw your consent for marketing communications at any time by clicking "Unsubscribe" or exiting the WhatsApp group.

6. Retention of Data

We will retain your information for the duration of the "Winter Warmer" promotion. If your account remains inactive for a period of 12 months following the end of the promotion, your personal data will be de-identified or deleted from our active marketing database.
